Tasks:

Listing Paperwork Management
  • Creating listing paperwork/agency agreement and them live on MLS and KWLS.
  • Preparing listing documents (Seller’s Disclosures, Lead-Based Paint Disclosures, HOA documents, etc.)

Listing Schedule Management
  • Scheduling of open houses
  • Scheduling of showings on listings
  • Scheduling home photoshoot (through website or company photographer)

  • Listing Management
    • Managing coming soon and active listings on MLS (status change, price change, update on remarks, etc.)
    • Coordinating offers received on the listing (processing addendum, counter addendum, multiple offer notice, etc.)
    • Update MLS status as needed
    • Requesting HUD/Settlement Statement from Title Company
    • Extract data from sources like ListHub, Zillow, Realtor.com, etc. to create and present weekly seller report
    • Assist with creating BPO/PVO
    • Send pre-listing packages as needed
    • Extract data from sources like ListHub, Zillow, Realtor.com, etc. to create and present weekly seller report
    • Assist with creating BPO/PVO
    • Ensure client is entered in Command/CRM with updated contact info
    • Keep listing checklists up to date
    • Prepare listing docs
    • Coordinate staging setup and removal directly with homeowner/stager
    • Coordinate lockbox key with sellers
    • Update active and pending listings in a spreadsheet
    • Call seller when the listing goes live, asking them to watch for the email (text if no answer), letting seller know you will email link to live to list
    • Maintain correct showing instructions in Showing time
    • Monitor showings and call agents for feedback
    • Enter feedback into the system and share with the seller (keep team apprised of showing feedback)

    Business Process Management
    • Open Houses
      • Scheduling of showings on listings
      • Scheduling home photoshoot (through website or company photographer)
      • Email sellers with confirmation and what to expect (need to create a template)
      • Ensure buyer agent receives all info regarding selling features of the home (open house checklist – including seller feedback form)
      • Advertise open houses in a timely manner on FB
      • Follow up with agent after the open house to obtain feedback about traffic, comments
      • Call/email seller to provide feedback regarding the open house
      • Include open house feedback in the seller’s weekly marketing update
      • Manage daily and weekly client communications while active
      • Open House feedback
    • Weekly marketing updates for active listings
      • Coordinate Broker’s Open (if applicable)
      • Paid Ads Report (if applicable)
      • Completed items from their marketing plan
      • Activity, view, stats
    • Once sold, transition file to the transaction coordinator
