I was really at a crossroads in my world because I had not had leverage, which was ultimately affecting my growth trajectory. A lot of entrepreneurs or people building businesses face this, they build out beyond their leverage point. You get to a point where you build and then you look back and say, Oh my gosh, I should have hired somebody back there. Administratively, I was buried. I don't know if I could bring anyone in that would do it at the level I do it. Can I trust that they're going to do it? And so I got stuck in that space of being miserable and not effective at all. In that administrative side, that was really the crossroads of where I made my decision. One that stands out was a specific task that was one of my least favorite tasks, which was a logging calls for my coaching business. Very quickly, Camille jumped in and did that. Camille is essentially my shadow. She's on my calls all day long with me. I've become so much better of a coach and a leader because I know I can focus 100% of my energy on that person and Camille's always there by my side. That first experience where I said, wow, this is amazing. I got more of my life back. I was doing that stuff at night and on weekends when I have a family, getting that time back was priceless for me. Camille is way too humble. I'm kind of like the talent. Camille's the person behind that. I get the privilege to show up and have my day. She's the one behind the scenes, putting it all together, making sure it's running smoothly. That's everything from scheduling to rescheduling. She's in my calendar. My email has access to everything and that's the other trust piece. When you find that right partner like I did in Camille, you have that trust now. The thing that's been fun to see develop in Camille is just the critical thinking aspect and I really do view her as a partner and she comes to the table with ideas and suggestions. I want a thinking partner as well. Camille's on my organizational chart, so she's a member of my core leadership team. I want Camille with me another six plus years.

I was our only admin back then, and I could cover it. And then we started realizing that I was at capacity and I couldn't do everything. We were also kind of at a point where we didn't quite need another full in-office person. We heard about Cyberbacker. We started going down that road. We did have a couple of different people before we got to Nashie, and once Nashie and I started working together, just everything clicked. We started building out the systems. We got everything how it needed to be, and it's been great ever since then. I could see the difference in her level of skill, her talent, her follow through with things, and even just her ability to problem solve. I saw very quickly that she was not just someone trying to do a task. She was someone trying to grow our business and make it better with us. Keeping it smooth is all about the systems. If we have an error or something happens or something unexpected, it's okay, what's the system that we put in place that this doesn't happen again. Every Friday, I do individual calls where we do coaching. We work through problem systems, things like that. We're talking daily. Communication is a huge part of that. Most entrepreneurs are entrepreneurs because they think they can do everything. And often they can, but you can only scale your business to so much doing that. Sure, you can do it, but how far can you go with that? Cyberbacker has been such an easy transition for us with that, especially in the beginning, because I didn't know what I was doing and how to train people. The bulk of the training I do is anything that's more specific to our team. That's a huge, huge time save. If there is something that we need extra training on, I have a Cyberbacker team that can jump in and help. If there's a team outside of just us to lean on and help, that itself has been huge. We don't want people just to join us, just to join us and do a job. We want to build big lives with them. That's been one thing to see about Cyberbacker that's been really cool is that they're doing the same. We've been through a lot. We've been through a lot of ups and downs, a lot of team growth and changes, a lot of restructures. I always know that I can count on Nashie to be there. Fun fact, when I went on maternity leave, she actually stood in as our director of operations.

I was doing a lot of the backend stuff. It didn't allow me to be completely present with the client on the call. I was in the database taking notes or I was in the database scheduling our next call. I had to go back in later in the day and then put those notes in. It was taking too much time and I knew that I needed help. Everything, not one thing and everything. Faith handles all the backend stuff for me. Every time I have to get into our CRM to do anything, I've got to reacquaint myself because I'm not in there every day anymore. And Faith has done a great job developing systems with me. She does all my reschedules. She does all my data entries. She takes all the notes out of the calls, makes sure that the clients are emailed their notes. She sends me reminders when I'm on the call and I say something like, we're gonna send you the recording and she just sends it. I mean, by the time it's out of my mouth, it's inside of 30 seconds, it's in their inbox. At the end of the day, since working with Faith, I have peace of mind. Everything I've promised to people, everything's done. Whereas before Faith, I always had lingering doubt about scheduling, reschedules. After eight years, I mean, we've got a system down. Faith has developed a dashboard that we work from where it's got the notes from last week, things that agents have committed to do. I don't have to keep it in my head. It's all on the dashboard. When Faith and I got into business together, I don't remember how many clients I had, maybe 20, maybe 25. And now we're at about 45, 50. I think we got as high as 55. I couldn't have scaled up to have as many clients as I do without the help that Faith provides. Do I want to grow? Do I want to scale it? Do I want to get to the next level? For an investment that I make in a Cyberbacker with Faith, it's a no-brainer.

How 8 Cyberbackers Support a 500-Closing Real Estate Operation.Scott M. · 1:36

There was friction between our in-house operations team and our agents. It was, the work was not at the quality we needed it to consist. And it got to a place where we're like, well, we're going to have to hire two or three people here to be able to take care of the workload. I talked to my business coach and he said, have you looked at virtual assistants, told me about cyber back there, sat down, we interviewed, we saw the process and we had more of an understanding of what we need to build out inside of our business to be able to really onboard this virtual assistant correctly, we couldn't just expect the virtual assistant to know exactly what to We had to take the time to be able to train them correctly. Now, once we had it, it was game on because there we brought on Kezia. Kezia, who is our lead Cyberbacker, she took it on and she's been a leader. She helps motivate our other Cyberbackers. When I think of the word excellence, that's how she shows excellence. And she's developed more leaders in our operation team. We have built out an organization where we have one in-house operations, handling about 500 closings transactions a year. Then we have eight Cyberbackers that take care of everything else on the back end. And I don't think that it would be at the same level because the level of excellence that we get from Cyberbackers is beyond anything I've seen here in the States. And we wouldn't be where we are today if it wasn't for her. And if it wasn't for her leadership. So they're all team players. They're all part of the team. We're all one big family. So she goes above and beyond. She and Victoria work hand in hand, where she feels a part of the culture because she is a part of the culture. That's one thing I believe that has helped us for six years, get us to where we are today. Kezia showed up when she didn't have to. She has gone above and beyond for us. She took the time to understand it. She took the time to learn and she's still always learning.

If someone is considering hiring a Cyberbacker, I would highly recommend it. It's a great investment for our business and it could be for theirs. We were in need of someone to help us stay organized, respond to clients more efficiently, and focus on what we do best, which is serving our buyers and sellers. We had a previous Cyberbacker who had to unfortunately move on. So that's how we got connected with Judd, and we're so thankful for that. Judd adjusted very quickly to what our needs were. There was a sense of anxiety before we had Judd because we were losing our previous Cyberbacker. And with Judd now, there has been such an efficiency to our systems. In the morning, we all respond on an email thread about what our day looks like and what our tasks will be. We're to a point now where Judd feels comfortable with his own responsibilities. You interview a few of them. And Judd just really stood out. He had a lot of initiative to want to learn and, again, grow with us. In the first week of having Judd, we had the pleasure of our previous Cyberbacker training him, which I think made a world of difference for where we are today. He really adjusted and he wasn't afraid to ask questions. What really stands out with Cyberbacker is their professionalism, training, reliability, and willingness to learn. They take ownership, providing great communication. For my experience, our Cyberbacker truly feels like an extension of our team, rather than someone just working remotely. I would highly recommend it. It's a great investment for our business, and it could be for theirs, and we're very grateful to have Judd as a part of our team.

I was bogged down with doing a lot of things that were very important that needed to be done back in administrative work, checking on timelines, appraisals, inspections, is everybody else doing what they're supposed to be doing, and was not able to be doing the most productive thing I think that I could be doing. Early on, one of the things that she did that was amazing was she kind of just took over things and ran with them. You just got to jump in. You have to get into the process. You have to learn by doing. She was not afraid to do that. She doesn't hesitate to email me or text me and check in with me if she has a question about something. It works well together. The desire to learn and I think get better every day. That's certainly been something that she has done from day one. If the checklist and the systems and the processes that we've built along the way that have just allowed everything to be very, very streamlined, it would be very difficult for me to do all that I do without her doing what she's doing. Last Monday, we closed two real estate transactions on the same day. Before we did that, we had a total of seven under contract. It's the checklist and the processes that help us keep things moving towards closing. You want to grow, you have to decide what you're going to give up. You just have to decide what you're going to give up, what is just not worth your time anymore. There's only so many hours in the day and you can't do everything.

And any realtor, especially, will know this phrase. One of the worst limiting beliefs I ever fell prey to was that if I don't do it, it won't get done right. And you can only work so many hours in a day. For us, it's when we have that feeling of wanting to take a break. When you're going through the workday and you feel drained, you feel tired, I find that the second you feel that feeling is when you should reach out for help and get more people to back you up. A distinct feeling of not having to supervise her was the best thing. She just did the work and learned and grew alongside us. She very much since then has set the bar for every backer moving forward. She's actively taking things in response to clients off of my plate. That when you have just good, clear systems, I want you to handle X and I will handle Y, that's what really helps keep everything going smoothly. You can only work so many hours in a day. When you can learn to train your employees and coworkers and peers correctly, you can trust them to handle the tasks. Any cost associated with that is not a cost, it's an investment because I'm buying my time back.

One of the greatest wins of doing that is my VA produces a newsletter that we send out bimonthly. I was really proud of my open click rate. It was like 22% and I thought that was really good. Your database is as important as your manual. If you're in a business, you know, is growing and it's a service oriented business and you want to love on your clients and stay in touch with them, so now you need to scrub your database. What my VA did was she took 20 contacts a day, so it wasn't overwhelming for her. My VA produces a newsletter that we send out bimonthly. She scrubbed our database. She started to take over doing the newsletter, meaning she found the content. Now we're like over 50% every time for our open click rate. She's happy every day. She smiles. No isn't a part of her vocabulary. It's just really such a pleasure and she's always willing to take on more. So you give her a task and like you turn around and it's done.
